The Metropolitan Building Managers of New York, Inc. (βMetropolitan Building Managers of New York,β βwe,β βus,β or βourβ) is a professional association of New York City building managers founded in 1944. This Privacy Policy explains what information we collect from members, applicants, vendors, and guests, how we use it, and who we share it with.
1. Information we collect
We collect the following categories of information when you interact with us:
- Account information β name, email address, phone number, mailing address, employer or building affiliation, member type (resident manager, superintendent, or vendor).
- Membership application data β referral name and relationship, employment history relevant to the application, any supporting documentation you choose to submit.
- Payment records β dues, event tickets, and other transactions. Card details are handled entirely by our payment processor (Square); we do not store full card numbers.
- Event participation β RSVPs, attendance, and guest lists for association meetings, the holiday party, the annual golf outing, and similar events.
- Insurance enrollment β beneficiary information for the life insurance benefit offered to active members.
- Vendor profiles β for vendor members: company name, business description, services offered, business card or logo.
- Technical data β IP address, browser type, and basic access logs needed to operate the site securely.
2. How we use your information
- Verify membership eligibility and process applications.
- Collect dues, event fees, and other association payments.
- Send transactional emails (login links, RSVP confirmations, payment receipts).
- Send association announcements (meeting notices, newsletter, event invitations).
- Administer the life insurance benefit through our carrier.
- Display vendor profiles to members who are searching for building-services providers.
- Investigate technical errors and prevent fraud or abuse.
3. Third-party processors
We share information with the following service providers strictly to operate the association. Each is contractually limited to the purpose listed:
- Square (Payment processor) β Processes member dues, event tickets, and guest payments. Card data is handled entirely by Square; we do not store card numbers.
- Resend (Email delivery) β Sends transactional and announcement emails (login links, RSVP confirmations, dues reminders, event notices).
- Neon (Database hosting) β Stores member records, payments, RSVPs, and application data in a managed Postgres database.
- Vercel (Application hosting) β Serves the member portal at portal.metropolitanbmny.com.
- Cloudflare Pages (Marketing site hosting) β Serves the public marketing site at metropolitanbmny.com.
- Sentry (Error monitoring) β Records application errors for diagnostic purposes. Configured to redact personal data before storage.
- Google Workspace (Email + collaboration) β Hosts board email accounts (president@, secretary@, admin@, etc.) used for member correspondence.
4. Information we do NOT share
- We do not sell member or applicant data.
- We do not share the member directory with vendors or the general public.
- Vendors do not receive member contact information unless a member directly initiates a service request.
5. Cookies and session tracking
The member portal uses HTTP-only session cookies to keep you signed in. Those cookies are required for the portal to function β disabling them will prevent login. We do not use third-party advertising or analytics cookies that track you across other sites.
6. Your rights
You may request access to, correction of, or deletion of the personal information we hold about you by emailing admin@metropolitanbmny.com. We will respond within a reasonable timeframe.

7. Data retention
We retain active-member records for the duration of your membership plus a reasonable archival period required by our records-keeping obligations as an incorporated association. Payment records are kept for the period required by applicable tax and accounting rules.
8. Children
The association serves working building managers and vendors. We do not knowingly collect information from children under 13.
